Federal Work-Study
Federal Work-Study (FWS) is a financial aid program that provides part-time employment opportunities to students, allowing eligible students to earn money while pursuing their education. Student employees are paid bi-weekly, at or above minimum wage, based on the number of hours worked in the given pay period. FWS positions can be on or off-campus and often offer flexible schedules to accommodate academic commitments. However, funding is limited, and eligibility depends on financial need as determined through the Free Application for Federal Student Aid (FAFSA), so not everyone qualifies. Please contact your campus financial aid office to inquire about eligibility.
There are many possibilities regarding the type of work and offices for which students can work to earn their funds, which may be campus-based, remote, or a combination of the two.
It is important to know that there are specific guidelines for the Federal Work-Study program as well as Federal Employment laws that must be followed. This is why students cannot start working or log hours until the following process has been completed AND a Student Work Agreement has been approved through the Financial Aid Office.
Please find student employment documents on the Financial Aid Forms webpage under the Work-Study Forms section. These forms are required and must be completed before students may begin working. Students who have held a work-study position in the past only need to review and sign the Student Work Agreement.
For first-time student workers at Antioch University, the following listed documents will need to be completed and submitted:
- Completed Student Work Agreement signed by the student and the supervisor
- W-4 (CA-DE-4 State Employee Withholding Form needed for California residents as well)
- I-9*
- FERPA agreement
- Use a direct deposit form with a voided check or bank account number and routing number. (Manual check options are available but are mailed from our Ohio campus)
*Please complete and sign section 1 of the I-9 form. You will need to provide ID from the list of acceptable documents on page 2. Students are legally required to submit the I-9 with their identification within 3 days of their employment start date.
Student Employment Job Opportunities are posted on the Financial Aid webpage. The job postings will contain job descriptions, including hours required and the position contact. You may review the postings and then apply directly to the office/department for any jobs in which you are interested. Some offices/departments may request a resume and/or an interview.
If an office/department makes a job offer, the student will need to download all necessary paperwork from the
Financial Aid Forms webpage, under Work-Study Forms. If the student previously held a work-study position at Antioch University, they will only need to review and sign the Student Work Agreement.
New students may not begin a position prior to the official start of their first term (see the academic calendar for your campus). Approval of the Student Work Agreement will be done once Student Work Agreement has been reviewed, signed and approved by all required parties in the WorkFlow Student Work Agreement process and if necessary, the student has completed and submitted all of the required paperwork. PLEASE REMEMBER it is very important that students do not begin working until this process has been completed and approved by the Financial Aid Office and the approved agreement has been sent to all parties via Antioch gmail.
Students are paid every 2 weeks. Once the Student Work Agreement has been approved, the student will receive notice via Antioch Gmail through the WorkFlow Student Work Agreement process. This approval is shared with the appropriate HR office to set up the student worker as an employee in the myAntioch portal. Also find the Payroll Time Entry Deadlines as well as the Time Entry Tracker to assist with tracking the time submitted and remaining eligible hours to prevent overspending your Federal Work-Study funds.
Please note that Federal Work-Study funds are for the current financial aid year (academic year) only. Federal Work-Study renewal is not guaranteed. Eligibility will need to be verified each academic year through submission of the FAFSA. The amount of funds that we are able to offer each year is impacted by the availability of funding as well as the need level of the entire applicant pool. Please contact the Financial Aid Office to determine your eligibility.
Non-Federal Work-Study
There may be situations where a student does not qualify for FWS funds, or the position may be funded by a department for grant funds. In these situations, the Student Employment Paperwork, Starting a Job, Getting Paid, and the Renewal of the work are the same as the process for the FWS program. Note that “Non-FWSP” will need to be selected on the Student Work Agreement for non-FWS positions. Students may not begin working until the work agreement has been approved through the Financial Aid Office.
International Student Worker
International students are not eligible for Federal Student Aid and, therefore, are not eligible for FWS funds. However, it may be possible for an international student to procure a position with non-FWS funds. The Designated School Official (DSO) will need to verify the employment meets the criteria of approved work for international students and clear eligibility with HR to be able to approve the student to work before the student can proceed with the process of accepting a position, completing the student employment paperwork and logging hours. This process may take additional time to complete all of the required paperwork. Please get in touch with your Financial Aid campus to connect the student to the DSO.
